Step 1: Add an Email Persona
An email persona lets you manage workflows using specific email aliases. These can be connected to any Google or Microsoft account, even if it’s different from the one used to sign up for Eloquens.
Steps to Create an Email Persona:
- Go to the Email Persona setup page.
- Enter the following information:
- Name: Specify the name of your AI assistant (e.g., "Ella Quinn").
- Role: Define the persona’s role (e.g., "Eloquens Support Agent").
- Email Account: Connect either Gmail, Outlook or Kerio Connect to your workflow:
- Click Connect Gmail, Connect Outlook or Connect GFI Kerio Connect.
- Select the email account you want the persona to read and send from.
- Click Create Persona to finalize the setup.
Step 2: Create a Workflow
Once your persona is set, create workflows to automate specific tasks.
Steps to Create a Workflow:
- Navigate to the Workflow page.
- Select Add Workflow.
- Enter the following details:
- Workflow Name: Provide a descriptive name (e.g., "Black Friday Campaign").
- Manager Name and Email: Specify who oversees this workflow.
- Optional Fields:
- Calendar Link: Add a scheduling link (e.g., Calendly).
- Group: Categorize the workflow by assigning it to a team (e.g., "Marketing").
- Email Settings: Select the Email Persona created earlier, and set the mode to send or draft.
- Advanced Settings (optional):
- Smart Filters: Enable rules to ignore certain emails.
- Intelligent Routing: Automatically direct emails to relevant teams or individuals.
- Custom Tone: Set the tone for AI responses (e.g., formal, friendly, localized).
- Manage Knowledge: Upload documents as the source of truth for the Workflow.
- Notifications (Optional):
- Set up CC or BCC for outgoing responses.
- Enable draft notifications if using draft mode.
- Review Details: Confirm all settings, then click Create.
Step 3: Activate the Workflow
- Locate the workflow you’ve created (e.g., "Black Friday Campaign").
- Toggle the switch to activate the workflow.
