Overview
Knowledge represents the ground truths for Email Personas and their associated workflows. To ensure accurate and reliable email responses while avoiding hallucinations, upload relevant documents that provide the necessary information for your Email Persona. This ensures your AI has access to the right context to craft responses.
Supported File Types
We support the following file formats:
- Documents (e.g., Word files)
- Excel spreadsheets
- PowerPoint presentations
- PDFs

Setting Up Knowledge for Workflows

Create a Folder:

If this is your first workflow, start by creating a folder to organize your knowledge base.

Give the folder a relevant name based on its purpose, such as "Product A Documentation" or "Sales Guidelines."

Upload Relevant Documents:

Add the necessary documents into the folder to provide the required information for your Email Persona.

Ensure the documents are up-to-date and comprehensive.

Organize with Multiple Folders:

Create multiple folders to categorize knowledge effectively, such as: "Product A" and "Product B" or "Sales" and "Marketing".

This organization helps you quickly locate and manage information.

Select Folders in a Workflow:

When creating or editing a workflow, select one or more folders containing the documents you want the Email Persona to use.

You can reuse previously created folders and the files within them for multiple workflows.

File Processing:
Uploaded files will require processing before they can be used by an Email Persona.
- Yellow Indicator: The file is being processed.
- Green Indicator: The file has been processed successfully and is ready for use.
- Red Indicator: There was an error during processing. Hover over the red indicator for more details.
You don't need to wait for the file to be fully processed before saving the workflow. You can:
- Select "Manage Knowledge" for a Workflow to view the status of the uploaded file.
- Go to the "Knowledge" page and view the document status within its folder.
Best Practices
- Keep Content Updated: Regularly review and update documents to ensure the AI has the latest information.
- Use Clear Naming Conventions: Name folders and files descriptively to simplify management and retrieval.
